The travel catalog is used to define travel times that drivers need to get from place to place without the service vehicle.

The travel catalog is used to define travel times that drivers need to get from place to place without the service vehicle.

These travel times are independent of how the driver actually gets from one place to another: the means can be walking, relief vehicle, as a passenger, using public transportation, etc.

The travel catalog also defines the purpose of the travel, which involves:

  • Time allocated for the driver to get from the sign-on location to the relief point at the start of a duty

  • Time allocated for the driver to get from a relief point to the sign-off location at the end of a duty

  • Time allocated for getting to or from a break or split location

  • Time allocated for getting from one place to another during a changeover or join-up.

If relief vehicles or shuttles are used, you can define a travel service.

Travel catalog format

  • Relevant for Walk, Relief car, and Other

  • Every row represents a travel from an origin location to a destination location

  • The travel catalog must be an Excel file of the following format:

Below, the trip from1001toTHHRis set to take five minutes between 8:00 and 15:00. For periods outside of that range, a new row would have to be defined.

Purpose column

This optional column is unique to the travel catalog and it is used to differentiate between travels with different purposes.

Purpose options (not case sensitive):

  • Driver base - start or end of duty or split (if the split purpose is not mentioned explicitly).

  • Changeover - between two pieces, not for the purpose of a meal break.

  • Breaks - will apply to all duty breaks (unless a specific break ID purpose is mentioned).

  • Split - start or end of a split break, not recommended to use as it’s covered by driver base. Use only if the split travel times are different than the driver base.

  • Combination - for the purpose of walking to or from public transport (PT) travel (i.e. used in combination with PT). Only relevant for Walk catalog.

Note:

  • This field should be used only if there are instances of the same travels, where the time is different for different purposes.

  • If you do not use purposes at all, the Purpose column can remain blank and it will mean “all purposes”.
    But, if you fill in even one purpose on a travel, you’ll need to add an explicit travel for every purpose you need. (e.g. you want to differentiate between X->Y for Driver base vs the other purposes, you’ll need to now fill in for all other travels the purposes they are valid for, like meal break, changeover and so on)

    • Combination purpose is the only exception here, using only combination in addition to empty purposes does not mandate adding all purposes to the travels

  • Multiple travels can be included in one purpose by comma separation, for example: driver base, changeover, meal break.

  • When using the Changeover purpose, you can use to or from travels to an intermediate location and use travel via changeover in the Changeover preference.

    The benefit is to simplify the catalog complexity.
    For example, if you have X number of stops, in order to have a full catalog of options for changeovers you’ll need X^2 rows, but if you have an intermediate location A you’ll just need X->A and A->X, so 2X rows in total.

Direction column

This optional column is unique to the travel catalog and it is used to indicate the alignment of the travel trip. It can be set as from or to and it is used to clarify the direction of the trip.

It’s only relevant for these specific cases:

  • Changeover - taking the purpose of a Changeover, setting the Direction to To refers to a travel trip happening right after the end of the first work piece.

    On the other hand, setting the Direction to from determines that the travel trip should happen before the start of the second workpiece.

  • Breaks - for the purpose of breaks, such as a meal break, the direction is usually irrelevant since there are two opposite direction trips, from the relief point to the meal break location and back. However, in the case when the relief point and break are in the same location, the driver gets time to get to the break and from the break. In this case, it is possible to differentiate between the trip to the break and from the break (Both travels are X->X):

    On the other hand, if the meal break is taken in one of the relief points, and they are not at the same location, it is possible to choose between the cases where the travel happens before the meal break, by typing ‘to’:

  • Driver base - when having the same travel for the start or end of the day, adding direction can help differentiate between the start of the day and the end of the day.

    • Driver base + from => Start of day

    • Driver base + to => End of day

Importing a travel catalog

To import a travel catalog into the system, follow these steps:

  1. In the side menu, click Catalogs.

  2. Click Import catalog.

  3. Select your catalog and click Open.

Downloading and updating a travel catalog

To view and download the travel catalog:

  1. In the side menu, click Catalogs.

  2. Click the relevant catalog. You will see descriptive information about the catalog. This includes the name of the catalog, the number of trips in it, its creation date, and owner.

  3. From the top right corner, click the wanted action- Download, Replace, or Update.

The Download option retrieves the online catalog to an Excel sheet. From there, it is possible to modify cells, to replace or update the online catalog. Using Replace to load the updated catalog is preferable because it deletes the outdated versions.
